Dear Ashurst Drive Resident
Introduction
Following the past few years with COVID and lock downs the Roads Association is keen to ensure a return to the active, regular management of the road to ensure safe and easy access for residents, visitors and deliveries. The 2021 AGM was delayed until Feb 2022 and the committee is keen to get the calendar back on track for the 2022 subscriptions, repairs and AGM. Below are details of this year’s subscriptions, our new web site and proposed dates for the 2022 AGM and road repairs.
Unfortunately, Ashurst Drive has seen a marked decline in its condition in recent years and subscription levels in the road have neither been at a sufficient level nor sufficiently supported to maintain the road surface. Sadly, the surface is at a tipping point whereby, if it does not receive appropriate professional attention soon, it will not remain safe and is likely to fall into rapid decline. Currently there are insufficient funds to cover the necessary remedial works on an annual basis , and there is a serious shortfall should significant resurfacing works be needed. Making the annual contribution to the association collectively allows the community to ensure safe and secure access to our properties.
If you are a long term resident who has supported the works to maintain the roads thank you for your continued support. If you are a new resident or haven’t contributed recently, please engage with the work of the Roads Association and ensure your subscription reaches us in time to allow the annual repairs to be completed before winter. (This both ensures timely repairs are complete but also helps the quality of the repairs as tarmac or road lining laid in cold and wet conditions is much less resilient to wear)
It should be noted that the ADHHA Roads Association has been in existence for 50 years now and has represented the interest of the residents to maintain Headley Heath Approach and Ashurst Drive. Many years ago ,at its inception, the council were looking at adopting the bridle ways which meant a substantial widening, with people losing part of their front gardens, allowance for a pavement and road lighting. The self-management of the roads by the Association enables us to maintain the rural feel of our community without the intrusion of street lighting and avoiding the scenario of a potholed unkept track, making access difficult and blighting property sales/values and the general quality of life.
The new website
To improve communication and reduce administration costs the Association has launched its web site.
Please google and have a look. All details of meetings, payment details, history, forthcoming maintenance and road closures for works are included amongst other useful information.

Whilst it is the hope that we can become paper free, all documents will continue to be available hard copy on request and households not opting into email will still be mailed hard copy directly of the annual News Letter and Subscription Request
How to pay
The current annual fee for Ashurst Drive is £100 per year.
There are a number of ways to pay:
1. Annual standing order – A SO form is attached. Please set this up with your bank.
2. BACS Payment through internet Banking – The Association Bank Details are:
Barclays Bank / Sort Code: 20-29-90 / Acc No: 50129208 /
Name: Ashurst and Headley Heath Roads Association.
Please ensure in your reference you add your full house name. Optionally add AD or HHA to identify which road you are paying into (Ashurst Drive or Headley Heath Approach) and the year for which the payment is covering e.g. 22.
3. Cheque – Please make cheques payable to -

Please post to the Hon Treasurer, Tanglewood, Ashurst Drive, Box Hill, Surrey. KT20 7LN.
Please ensure you write your full house name on the back of the cheque.

Calendar
The typical calendar for the Roads Association is as follows:
· Notification of subscriptions issued July each year
· Subscriptions collected in July/August
· AGM October (This year will be 18th October) at Box Hill Church 7pm
· Proposal for maintenance in each road is drawn up in August /September
· The work is carried out in September/October before bad weather sets in.
Maintenance Plan
In general, Ashurst Drive is starting to deteriorate and two sections are breaking up. In recent times there has not been sufficient money in the account to carry out the required work, consequently virtually no maintenance has been possible.
The Association’s strategy to rectify this current state of affairs is initially to bring the annual subscriptions contributions to a level where the whole community is funding the ongoing annual maintenance. Secondly, a strategy for the long term maintenance of the road, ultimately resurfacing a significant amount of the road before it falls into wholesale disrepair.
Principally getting the funds to pay for the long term significant works would be funded by:
1. Annual membership subs
2. Looking at possible grants from the local Authority
3. Potential call for all in the road to make a one off contribution.
A survey of residents’ opinions will be completed in Ashurst Drive to gauge what people’s thoughts are.
